This Policy applies to all users, including nonprofit organizations, donors, foundations, advisors, and appraisers.

We collect the following types of information:

  • Name, email address, organization name, and role

  • Documents uploaded or completed on the Platform

  • Messages or inquiries you send to our team

  • E-signatures and submitted forms

b. Information We Collect Automatically

  • IP address, browser type, and device information

  • Usage data such as page views, task completions, referral activity

  • Session activity captured via Intercom or onboarding tools

c. Information from Third Parties

  • Integration data from tools such as Stripe (payment), HubSpot (CRM), Foundant (foundation onboarding), DocuSign (signatures), or others you connect

  • Referrals or invites from existing users

2. How We Use Your Information

We use your information to:

  • Operate, maintain, and improve the Platform

  • Facilitate donation workflows, user onboarding, and document coordination

  • Send onboarding emails, alerts, and platform notifications

  • Provide customer support via chat or email

  • Run educational and retargeted marketing campaigns

  • Comply with legal and regulatory requirements

3. How We Share Your Information

We may share your data:

  • With other users involved in a shared transaction (e.g., donor, nonprofit, foundation, legal advisor)

  • With trusted third-party providers who support our services (e.g., HubSpot, Stripe, Intercom, DocuSign)

  • With foundations or partners you are referred to or onboarded by

  • In aggregate, anonymized form to improve our platform or report on market trends

  • If required by law, subpoena, or regulatory request

We do not sell your personal data.

4. Third-Party Services and Integrations

The Platform integrates with external services, including but not limited to:

  • Stripe for billing and donor passthrough

  • DocuSign or HelloSign for legal document execution

  • HubSpot for CRM, email automation, and smart outreach

  • Foundant for foundation onboarding and campaign tracking

  • Intercom for chat-based support and helpdesk tickets

  • UserGuiding for onboarding flows and feature walkthroughs

  • Google, Meta, and LinkedIn for paid campaigns and retargeting

Each third-party service may collect and use information under its own terms and policies. We recommend reviewing those directly.

5. Cookies and Tracking Technologies

We use cookies, pixels, and similar technologies to:

  • Understand how users navigate our Platform

  • Improve onboarding and in-app experiences

  • Run retargeting and ad campaigns after site visits

You may disable cookies in your browser settings. Doing so may impact certain features.

6. Marketing & Communication Preferences

We may send onboarding emails, platform updates, and marketing content based on your role (e.g., donor, nonprofit staff, advisor).

You may unsubscribe at any time using the link in any email or by contacting admin@donateequity.com. Service emails (e.g., security alerts, active campaign notices) will still be delivered.

7. Data Security

We maintain reasonable safeguards to protect your information, including:

  • Encrypted transmission (HTTPS)

  • Access controls and user authentication

  • Secure document storage

  • Continuous monitoring and data backups

No system is 100% secure, but we follow industry best practices to minimize risk.

8. Data Retention

We retain your data as long as your account is active or as needed to:

  • Support a donation campaign

  • Meet legal, financial, or contractual obligations

  • Resolve disputes or enforce agreements

You may request account deletion by emailing admin@donateequity.com. Some data may be retained for compliance purposes.

9. Your Rights

Depending on your location, you may have the right to:

  • Access or update your personal data

  • Request deletion of your account

  • Object to certain uses of your data (e.g., marketing)

  • Request a copy of data we’ve stored

10. Children's Privacy

The Platform is not intended for users under 18. We do not knowingly collect personal data from children. If you believe a child has used our Platform, contact us for removal.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you via email or in-app message. Continued use of the Platform after notice indicates your acceptance.
